Title:Z UČINKOVITO ORGANIZACIJO ZAPOSLENIH DO VEČJEGA ZADOVOLJSTVA NAROČNIKOV - PRIMER UPORABE INTRIX TM PROJECTA

Abstract:V diplomskem delu smo želeli prikazati, da je organizacija posameznika za uspešno opravljanje dela ena izmed ključnih aktivnosti. Vsak posameznik ima svoj pristop k organizaciji svojega delovnega okolja — od urejenosti delovne površine, do urejenosti dokumentacije, ki je za njegovo delo pomembna. Čeprav je na prvi pogled nenavadno, ampak lahko s svojim načinom dela naročnika prepričamo v to, da je takšna organizacija najboljša in tudi najprimernejša zanj, ali pa dosežemo drugo skrajnost — nezadovoljen naročnik, saj posluje z osebo ali osebami, ki ne obvladajo svoje organizacije, čeprav ponujajo tak izdelek, ki bi olajšal poslovanje. V začetku diplomskega dela, smo teoretično spoznali in analizirali organiziranje zaposlenih, njihovo komunikacijo, dokumentni sistem in merila za zadovoljstvo naročnikov. Drug del naloge pa je praktična prevedba zapisane teorije na primeru uporabe spletne aplikacije Intrixâ„¢ Project, ki jo je razvilo podjetje Intera, d.o.o. iz Ptuja. Teoretiki opredeljujejo čas, kot poseben vir na katerega ne moremo vplivati, lahko pa ga kar se da dobro izkoristimo. Osebno organiziranost pa lahko izboljšamo ali vzdržujemo na nekem nivoju, ki nam ugaja s pomočjo številnih elektronskih pripomočkov. Danes poteka vse delo z računalnikom, kar pomeni, da večina dokumentov ni več v papirni obliki, a kljub temu, se zaradi narave dela nekateri dokumenti še natisnejo. Pri sprejemanju odločitev je pomembno, da je posameznik ali skupina organizirana — za lažjo organizacijo se lahko uporablja programska oprema osebnega organizatorja. Tako lahko vse podatke povežemo glede na naloge, osebe in termine. Kako bo posameznik organiziral svoje dokumente in podatke je prepuščeno njegovi odločitvi, pri tem pa mora upoštevati nekakšen sistem arhiviranja. Ob uporabi elektronskega arhiviranja se ponuja možnost povezovanja dokumentov in podatkov, kar nam še bolj optimizira delovni postopek. Takšno povezovanje pomeni združevanje posameznih dokumentov in podatkov po skupnem kriteriju, tako imamo dokumente in podatke za tekočo nalogo ali projekt na enem mestu. Organizacijo namreč sestavljajo posamezniki in skupine, ki s skupnim delom dosegajo več, kot pa če bi delali individualno. Doseganje ciljev, ki so brez organizacije bolj ali manj nedosegljivi, zahteva od posameznikov in skupin določeno mero podrejanja in prilagajanja organizaciji, kar pa lahko povzroča konflikte bodisi med posamezniki ali med skupinami v organizaciji. V skupinah je komunikacija in prerazporejanje časa med delavci zelo pomemben dejavnik za uspeh projekta. Programska oprema za skupinsko delo je zato ključnega pomena za ustvarjanje in doseganje konkurenčne prednosti. Uporabnikom je omogočeno preprosto povezovanje in uporaba informacij, do katerih lahko dostopajo kadarkoli in kjerkoli. Človek doseže največjo delovno učinkovitost med 8. in 11. uro, nato pa storilnost nekako do 14. ure upada. V obdobju najnižje storilnosti — nočno delo — je nevarnost pomot in nezgod največja. Seveda pa takšen ritem ni pravilo. Vsako pomanjkanje skupinskega dela na kateremkoli nivoju podjetja omejuje organizacijsko učinkovitost in lahko v najbolj črnem scenariju podjetje tudi uniči. Zavedati pa se je potrebno, da tudi najboljši posamezniki ne morejo dosegati vrhunskih rezultatov, če skupina ne deluje kot team. Vodja skupine je običajno bolj izkušena in strokovno zelo usposobljena oseba. Skupinsko delo ima številne prednosti — motivacijo, skupno koheziijo, sinergijo, boljšo organizacijo, skupno kreativnost in zadovoljstvo. Dobro razvite skupinske značilnosti opažamo v glavnem v manjših skupinah. Ko pa število skupine preseže 10 do 15 članov, medsebojni odnosi in skupinski procesi vedno bolj bledijo. Pri zelo povečanem številu preide skupina postopoma v kategorijo ljudi, ki jih združuje le ena skupina lastnosti ali nekaj skupnih potez. Ni dovolj, da načrtujemo sestavo skupine samo po kriterijih homogenosti ali samo po kriteriju heterogenosti.

Title:WITH EFFIECENT ORGANIZATION OF EMPLOYEES TO HIGHER SATISFACTION OF CLIENTS - CASE OF USE INTRIX TM PROJECT
Abstract:The thesis deals with the presentation that the organisation of an individual is one of the key activities for a successful working performance. Every individual has his/her own approach to the organisation of his/her working environment – including the tidiness of the workspace and the organisation of the documentation important for his/her work. Moreover, although it seems unusual at the first sight however, with our way of working we can convince the customer either that our organisation is the best and also the most appropriate for him/her or we can go to the other extreme, which is an unsatisfied customer as he/she is working with a person or people, who do not master their organisation although they are offering a product, which should facilitate the business operation. At the beginning of the thesis we have theoretically shown and analysed the organisation of the employees, their communication, their document management system and their measures for the customer’s satisfaction. Furthermore, the second part of the thesis is the practical transference of the described theory on the example of the use of the web application Intrix™ Project developed by the company Intra, limited liability company (d.o.o.) from Ptuj. In addition, the theorisers define the time as a special source that can not be influenced however, it can be well used. Moreover, the personal organisation can be improved and kept on the same level by using several electronic instruments. Nowadays all the work is done on the computer, which indicates that most of the documents are no longer in a paper form but despite this some of the documents are still printed due to the nature of the work. When making a decision it is important for an individual or a group to be organised – for an easier organisation the software of a personal organiser can be used. In this way all the data can be joined regarding the tasks, people and dates. Furthermore, it is an individual’s decision how he/she is going to organise his/her documents and data however, he/she has to consider a certain archiving system. When using the electronic archiving there is a possibility of connecting the documents and data which can even more optimise the working process. In addition, such connection means the pooling of individual documents and data according to a joint criterion so there are documents and data for the current task or project in one place. The organisation namely consists of the individuals or groups, who achieve more when working together than when working individually. Achieving the aims, which are without an organisation more or less unreachable, demands from the individuals and groups a certain subordination and adaptation which can on the other hand cause conflicts among the individuals or among groups in the organisation. In groups of workers communication and redeployment of time are very important for the success of the project. Therefore, software for the teamwork is most important for creating and achieving the competitive advantage. Users can easily connect and use the information to which they have the access anytime and anywhere. An individual reaches his/her highest work efficiency between 8 and 11 a.m. and afterwards the efficiency is decreasing till 2 p.m. At the time of the lowest efficiency – night work – there is the highest risk of making mistakes and accidents. However, this rhythm is not essential. Every insufficiency of teamwork on whichever level of the company reduces the organisational efficiency and in the worst case scenario it can also destroy the company. Moreover, it is necessary to be aware that even the best individuals can not achieve outstanding results when the group does not work as a team. The team leader is usually the most experienced and professionally well qualified person. Furthermore, the teamwork has many advantages – motivation, collective cohesion, synergy, better organisation, collective creativity and satisfaction.
